*Job Description:* We are seeking a highly organized and detail-oriented Administrative/Executive Assistant to join our team.
In this role, you will provide crucial support to our executives and help ensure the smooth operation of our office.
The ideal candidate should be proactive, adaptable, and capable of handling a wide range of administrative tasks and data entry.
* *Executive Support:* * Assist executives with scheduling meetings, managing calendars, and event arrangements.
* Prepare and organize documents, presentations, and reports for meetings.
* Handle email correspondence and phone calls on behalf of executives with clients and other relationships.
* *Office Management:* * Maintain office supplies and equipment, reordering as needed.
* Organize and maintain office files and records.
* Coordinate office events and meetings.
* *Communication:* * Act as a liaison between executives and external collaborative parties such as insurance agents, bankers, accountants, and attorneys.
* Draft and proofread emails, memos, and other written materials.
* *Data Management:* * Organize and manage data, including contact lists, client information, and confidential files.
* Ensure data accuracy and update records as necessary.
* Entering client’s data into planning software during onboarding and reviews.
* *Administrative Support:* * Perform general administrative tasks such as filing, scanning, and photocopying.
* Assist in the onboarding of new clients, opening new accounts and transferring of assets.
* Handle incoming and outgoing checks and mail.
*Qualifications:* * Self-driven with the desire to be a part of a team to impact people’s lives positively.
* Excellent organizational and time management skills.
* Previous experience as an administrative or executive assistant is preferred.
* Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Understanding of technology and capacity to learn new software (Advyzon/Wealthbox, Altruist, Dropbox, Charles Schwab, CapitalGroup 401k Platform, RightCapital etc).
* Strong communication and interpersonal abilities.
* Discretion and the ability to handle sensitive and confidential information.
Job Type: Part-time Pay: $17.
50 - $20.
