Overview:
The Legal Operations Coordinator will improve the operational effectiveness of the Telapex Legal Department by streamlining departmental processes and procedures, including through management and oversight of legal technology tools and resources, training/know-how sharing initiatives, department manuals and procedures, and outside counsel spend management.
Responsibilities:
Office and administrative tasks such as receiving and routing voicemails, preparing for meetings, processing mail, processing reimbursement requests, ordering office supplies, copying, faxing, scanning, etc.
Maintain department’s records and organizational documents and prepare board resolutions, etc.
Coordinate with internal stakeholders to optimize departmental workflows, improve productivity, identify department’s needs, oversee and manage the technology programs and resources
Serve as liaison to other departments regarding technical support and integration with company systems and support department’s users in understanding and capitalizing on system features
Coordinate with Finance and internal resources on accruals and reserves and use information management tools to collect and communicate financial information both within and outside the department
Identify the actual drivers of department expenses and trends and provide recommendations for cost reduction/avoidance along with process and functional improvements
Enforce billing guidelines with outside counsel
Benchmark department practices against industry standards and make recommendations to improve efficiency and lower costs
Membership in Association of Corporate Counsel and/or Corporate Legal Operations Consortium and establish relationships to ensure department takes advantage of best practices
Lead the department’s knowledge management functions by developing and overseeing systems and technology for efficiently creating, storing, and sharing written material
Other tasks as may be assigned
Qualifications:
At least 1-2 years of relevant experience, preferably within a corporate legal department performing a similar function or as an office or procurement manager within a large office or department
Highly proficient in Microsoft Office Suite and extremely comfortable with technology and familiarity with legal technology programs
Bachelor’s degree or equivalent preferred with concentration in legal, finance, operations or other analytical area
Entrepreneurial mindset with experience building and implementing systems
Self-motivated team player with ability to drive projects, identify and resolve legal and business issues, and earn confidence and cooperation of business partners
Detail oriented
Strong communication, writing and organizational skills
Experience working with all levels of the organization
